Privacy Policy

Last updated 12 October 2026

This policy explains how Reception collects, uses and protects personal information through this website. We follow the New Zealand Privacy Act 2020.

Information we collect

We only collect information you choose to give us, such as when you:

  • request a booking of the space
  • apply for membership
  • offer to volunteer or sign up for a reception shift
  • contact us by email

This is usually your name, contact details, and whatever else you include in the form. We also collect basic, anonymous usage statistics (such as which pages are visited) to help us improve the site.

How we use it

We use your information to:

  • respond to your booking, membership or volunteer request
  • organise the reception roster and let coordinators know who is on shift
  • keep our public opening hours up to date, including on Google Maps
  • contact you about things you have asked us about

We do not sell your information or use it for advertising. Our public opening hours never include the names of the people on shift.

Where it is stored

Information is stored using trusted third-party services, mainly Google (Calendar, Forms, Sheets, Gmail and Business Profile) and Microsoft Azure, which hosts this website. These services may store data outside New Zealand. Only the people who run Reception have access to it.

How long we keep it

We keep personal information only for as long as we need it for the purpose it was collected, and then delete it.

Your rights

You can ask to see the personal information we hold about you, and ask us to correct or delete it. Email us at tradeshall.reception@gmail.com.

If you are not happy with how we have handled your information, you can contact the Office of the Privacy Commissioner.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
